This policy is tailored to the current website build. The operating legal entity, address, governing law, service providers, and dedicated contact details must be confirmed in site-config.js before public data collection or paid enrollment begins.
1. Adults handle online enquiries
This website is intended for adults. Children should not submit forms or send personal information. A parent or legal guardian must make enquiries and should avoid including a child’s diagnosis, records, school, exact location, images, or other unnecessary identifiers in the initial message.
2. Participation principles
- Dignity: no shaming, coercion, humiliating exercises, or framing a child as broken.
- Voice: explanations are age-appropriate and the child’s assent, hesitation, and refusal are taken seriously.
- Least necessary information: only information needed for safe and suitable participation is collected.
- Inclusion: access, communication, cultural, sensory, and family needs are discussed respectfully.
- Scope: facilitators do not diagnose and refer to qualified support when needs fall outside the program.
3. Parent or guardian responsibility
The responsible adult must complete the confirmed consent and emergency process, provide accurate safety information through the approved private channel, disclose collection arrangements, remain reachable, and follow supervision rules. Participation does not transfer legal guardianship or replace professional care.
4. Safe program practice
Before enrollment, families must receive the program age range, format, location, facilitator identity, supervision ratio, arrival and collection rules, accessibility arrangements, physical-contact boundaries, online-session rules, incident process, and emergency plan. Facilitators must be appropriately selected, briefed, supervised, and subject to any checks required by the operating jurisdiction.
One-to-one contact, messaging, transport, overnight activity, changing areas, and physical touch require explicit operational rules. Private adult-to-child messaging should not be used outside an approved, transparent guardian-facing channel.
5. Concerns, disclosures, and emergencies
Facilitators listen calmly, do not promise secrecy, record only necessary facts, and follow the approved escalation process when a child may be at risk. Information may be shared without ordinary consent when required by law or reasonably necessary to protect life or safety.
The website is not an emergency reporting channel. For immediate danger, contact the local emergency or child-protection service.
6. Photography, testimonials, and stories
Participation consent and publicity consent are separate. Identifiable photos, audio, video, names, artwork, or stories involving a child require specific parent or guardian authorization and age-appropriate agreement from the child. Refusing publicity must not reduce access to a program. Permissions should state the channels, purpose, duration, withdrawal route, and any limits once material has been published.
7. Required operational confirmation
Before any child-facing program opens, Rainbow Sanctuary must appoint a named safeguarding lead, approve the full safeguarding policy and code of conduct, confirm jurisdiction-specific reporting duties and background checks, train staff, establish incident records and escalation contacts, and publish a direct adult contact route. The current page is a public-facing commitment, not a substitute for those internal procedures.
